Frequently Asked Questions

General Questions

What is AeroHaven?

AeroHaven is a private utilization network that introduces flight schools, aircraft owners, and pilots for structured, ongoing aircraft use.

Are you a flight school, charter company, or operator?

No. We are an introducer and administrative platform. We do not dispatch flights, operate aircraft, provide instruction, or sell air transportation.

Do you handle payments for flight hours between the school and the owner?

Not at this time. The school pays the owner directly for aircraft use. AeroHaven charges only platform/service fees (Activation, Active Aircraft, and optional owner management).

Where do you operate?

Nationwide. Matching is prioritized by region and compatibility.

Flight Schools

How do schools get aircraft options if there isn’t a public directory yet?

Schools request a shortlist. We respond with exclusive aircraft options that fit your aircraft type, region, and target utilization.

What does “Request Intro” mean? Is it free?

Yes - Request Intro is free. It starts the process so we can check fit and ask the owner of the aircraft you are interested in leasing if they’re open to an introduction with your school. This provides the owner with privacy and discretion without the hassle of never-ending solicitation.

What is the Deal Activation fee and when do I pay it?

Deal Activation ($249) is paid only after the owner confirms they’re open to an introduction with your school. It unlocks the introduction, full aircraft/owner details, and a secure 'Deal Room' for document transfers and archiving.

What happens if I paid a Deal Activation fee and the deal with the owner doesn't happen?

Your Deal Activation fee becomes a CREDIT to your next Deal Activation and is valid for 12 months.

What is “Active Aircraft” and when does monthly billing start?

An aircraft becomes “Active” after both parties agree on terms and confirm 'Go-Live' via the Go-Live Agreement in the Deal Room. Active Aircraft billing ($129/mo per active aircraft, from the School to AeroHaven) starts on the 1st of the month following Go-Live. Founding Members receive the first month of their first Active Aircraft at NO CHARGE. Active Aircraft billing for Founding Members will start on the 1st of the second month following Go-Live.

How many aircraft can we add?

As many as you’d like - Active Aircraft fees apply per active aircraft. The number of aircraft you can have leased to your fleet is uUNLIMITED. Active Aircraft billing is incrementally reduced with multiple leased aircraft. See Pricing for details.

Do we have to base the aircraft at our airport?

Not necessarily. By default, the aircraft stays at the owner’s home airport unless both parties agree otherwise. Details of the transfer of the aircraft are handled between parties, unless the owner has elected AeroHaven's Owner Concierge Aircraft Management Plan, in which case, AeroHaven will be the primary point of contact for agreements between the school and owner.

Do you require a specific insurance policy?

Insurance terms are between the school and owner. The school and owner are responsible for coverage and compliance.

Aircraft Owners

How much does it cost to list my aircraft?

Listing is free for Founding Members.

Will my tail number and identity be public?

No. We keep identifying details (tail number, exact location, owner identity) private until a school has been approved for an introduction and has paid Deal Activation. This keeps privacy protected and owners free from solicitation.

Do I have to let the aircraft leave my home airport?

No. By default, the aircraft stays at your home airport. Repositioning is optional and negotiated between you and the school, unless you have chosen the AeroHaven Owner Concierge Aircraft Management Plan, which will allow us to be the primary point of contact for such necessesities.

Does AeroHaven take a cut of the owner’s aircraft-use revenue?

No. The school pays the owner directly. AeroHaven fees are separate platform/service fees paid by the school (and optional management fees paid by the owner).

What is Owner Essentials ($199/mo)?

Owner Essentials is optional. It reduces your admin load: we organize the deal room, chase required documents, keep records clean, and send you maintenance reminders, and a clear monthly status update so you don’t have to follow up or track items yourself.

What is Owner Concierge ($799/mo)?

Owner Concierge is optional hands-off coordination: we manage onboarding follow-ups, keep the relationship on track, coordinate maintenance/insurance tracking with your chosen providers, and deliver monthly closeout summaries—so you stay truly hands-off. This plan allows AeroHaven to act on your behalf to keep the aircraft maintained and airworthy, while keeping you, the owner, in full control, with all final decisions being yours to make. It is the owner's ultimate responsibility to ensure the aircraft maintenance, insurance, and airworthiness is up-to-date and satisfactory.

Does AeroHaven handle maintenance or sign off airworthiness?

No. Your A&P/IA and chosen shops handle maintenance and airworthiness. We help coordinate scheduling, reminders, and record organization if you choose management services.

Pilots

Is pilot membership required?

Membership is required. However, pilot participation is free for Founding Members.

Will my information be public?

No. We do not publish personal contact information publicly.

Do you provide instruction or guarantee flight time?

No. Any training or rental arrangement is between the school/owner/pilot. As with Aviation in general, certain factors like weather can cause training and flight time to fluctuate.

Process & Trust

What is the “Deal Room”?

A secure, shared, and virtual space for the owner, school, and/or pilot to exchange documents and follow a simple checklist toward Go-Live, as well as, track and archive documentation. It provides an easy location for all parties to have access to important documents and information.

What are the “Next 3 Steps” after an introduction?

1 - Exchange Basic documents in the Deal Room.

2 - Owner + School Alignment Call (To confirm agreement details).

3 - Execute your agreement + confirm Insurance, and confirm 'Go-Live'.

How do we confirm Go-Live?

Both the owner and the school reply to a Go-Live email with: “GO-LIVE confirmed” and the Start Date. Any Aircraft Management Plan will begin billing immediately. The first month is pro-rated, with all subsequent month's being billed on the 1st day of each month.

Do you provide legal advice or a legal agreement?

No legal advice or legal agreements. Parties are responsible for their own agreements and counsel. We may provide optional templates for convenience, but you should consult an aviation attorney for legal matters.

Fees, Pricing, & Billing

Why are fees structured this way?

To keep it simple and fair: Request Intro is free, you (the school ) pay Activation only when an owner opts in and you unlock a real intro, and monthly fees only start after the aircraft is truly active.

Can I cancel Active Aircraft billing?

Yes. Active Aircraft subscriptions are cancellable; cancellation takes effect at the end of the billing period in which the cancellation was requested, AND a Lease Agreement Cancellation Form is signed by all parties. The signing of the Lease Agreement Cancellation will end the agreement between all parties immediately; At which time the use of the owner's aircraft will cease and arrangements will be made to return the control of the aircraft to the owner.

How much will it cost?

We believe in being fair and honest. There are no hidden costs or fees. All costs for Flight Schools, Aircraft Owners, and Qualified Pilots are below. AeroHaven platform Membership for Founding Members is FREE.
