AeroHaven Privacy Notice

This Privacy Notice explains how we collect, use, share, and protect information when you use the AeroHaven website, forms, communications, deal rooms, and related services (the “Services”).

1) What AeroHaven does

AeroHaven operates a private introduction network connecting flight schools, aircraft owners, and pilots/CFIs. We maintain certain information privately and disclose identifying details only through a controlled introduction process.

AeroHaven is an introducer and administrative platform. We are not an aircraft operator, charter provider, dispatcher, flight school, maintenance provider, insurance producer, or legal advisor.

2) Information we collect

We collect information in three ways: (A) information you provide, (B) information collected automatically, and (C) information from service providers.

A) Information you provide

Depending on your role and use of the Services, you may provide:

Contact & profile information

Name, email, phone number

Organization/school name (if applicable)

General region/location (e.g., metro area, base airport/region)

Preferences and notes (aircraft type, availability, utilization targets, etc.)

Aircraft owner & aircraft information

Aircraft type/model and general location/region

Availability, basing preference, limitations/requirements

Photos and descriptive details you choose to upload

Documents you choose to share (e.g., annual proof, maintenance summaries, insurance certificates)

Flight school information

Base airport(s)/regions

Aircraft needs and preferences

Utilization targets and timelines

Documents you choose to share (e.g., insurance requirements, onboarding items)

Pilot/CFI information

Ratings/certificates/credentials you choose to provide

Experience summaries and availability

Documents you upload (e.g., pilot certificates, endorsements, resume)

Communications

Emails, form messages, and notes you send to us

Go-Live confirmations and other operational confirmations

Payments (if you purchase services)

Purchase and subscription status, payment status, and receipt details

We do not store full payment card numbers.

B) Information collected automatically

When you visit our website, we may collect:

IP address, browser type, device information

Pages viewed, time spent, and general usage metrics

Approximate location derived from IP address (not precise GPS unless you provide it)

We may use cookies and similar technologies for basic site functionality and security. If we enable analytics tools in the future, we will update this notice.

C) Information from service providers

We may receive information from vendors that help us provide Services, such as:

Payment processors (e.g., Stripe): payment confirmation, subscription status, billing events

Deal room/document tools (e.g., DocSend): access logs and document-sharing activity depending on tool settings

Website/form tools (Webflow): form submission records and delivery of form notifications

3) How we use information

We use information to:

Register users (schools, owners, pilots/CFIs) and maintain private registries

Build and send anonymized shortlists and match summaries

Facilitate controlled introductions between counterparties

Create and manage deal rooms and document exchange

Provide optional aircraft management services (administrative/coordination support)

Process payments, manage subscriptions, and maintain credit records

Communicate with you about requests, next steps, updates, and billing

Protect the Services from abuse, fraud, and circumvention

Comply with legal obligations and enforce our Terms

4) How introductions affect information sharing

AeroHaven is designed to keep identifying information private until the appropriate step in the process.

Before an introduction is unlocked, we may share only anonymized or general match information (e.g., aircraft type and region; utilization goals; timeline; general requirements).

When an introduction is unlocked, we may share identifying details (such as names, direct contact information, and deal room access) with the counterparties involved so they can communicate and proceed.

You acknowledge that once identifying information is shared to counterparties, AeroHaven cannot control how those parties use or store that information, except as limited by our Terms and applicable law.

5) Deal rooms and document sharing

Deal rooms are used to exchange documents between parties. You are responsible for what you upload and share. You should not upload information you are not authorized or willing to share.

AeroHaven may have administrative access to deal rooms for the purpose of:

setting permissions,

organizing templates,

and supporting the workflow you requested.

We do not review documents for legal sufficiency, airworthiness, regulatory compliance, or insurance adequacy.

6) How we share information

We may share information in the following circumstances:

A) With counterparties (when you request/accept introductions)

We share information with other users only when needed to facilitate an introduction or workflow step you requested (e.g., school ↔ owner, owner ↔ pilot). This may include contact information, match details, and deal room access.

B) With service providers

We share information with trusted vendors who help us operate the Services (e.g., Webflow, DocSend, Stripe, email providers). Vendors are permitted to use information only to provide services to AeroHaven.

C) Legal, safety, and enforcement

We may disclose information if we believe it is necessary to comply with law, protect rights and safety, investigate abuse, enforce our Terms, or respond to lawful requests.

D) Business transfers

If AeroHaven is involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets, information may be transferred as part of that transaction.

We do not sell your personal information in the traditional sense.

7) Marketing communications

We may send operational emails necessary to run the Services (e.g., confirmations, introductions, billing messages).

If you opt in to marketing updates, we may send informational emails about the network. You can unsubscribe at any time using the link in the email or by contacting us.

8) Data retention

We retain information as long as reasonably necessary to:

operate the Services,

maintain billing and credit records,

keep operational records for match history and anti-circumvention,

comply with legal obligations,

and resolve disputes and enforce our Terms.

If you request deletion, we may retain limited records necessary for legitimate business purposes (e.g., billing records, credits, and enforcement records).

9) Your choices and requests

You may request to:

access the personal information you provided,

correct inaccurate information,

or request deletion (subject to retention needs described above).

10) Security

We use reasonable safeguards designed to protect information. However, no system is 100% secure. You agree that you provide and share information at your own risk.

11) Children

The Services are not directed to anyone under the age of 18, and we do not knowingly collect information from anyone under the age of 18.

12) Changes to this notice

We may update this Privacy Notice from time to time. The Effective Date reflects the current version. Continued use of the Services after updates means you accept the revised notice.
